Use Claude Docs to Turn Policy Notes into an Approval Brief

Summary

Cihan's view: Ask Claude for a living approval brief from approved policy notes, define the reader and required sections, and keep every open point visible. Check each recommendation against the notes before exporting the document or sharing it with a decision owner.

A policy draft can sound complete while leaving the decision owner with no clear choice. A short approval brief gives the reader the proposed change, its source, the gaps, and the question that still needs an answer.

Reader and decision: You are an operations manager deciding whether a policy note is ready for an owner review. The artifact is a living approval brief. The decision is whether to send it back for missing information or ask the owner to review it.

Evidence label: Documentation-based and illustrative. Anthropic documents Claude Docs, its editing and sharing controls, and export formats. The notes and output below are fictional. No Claude run or personal test is claimed.

What you need

  • Claude on web or desktop with Claude Docs available.
  • One approved set of fictional policy notes.
  • A named decision owner who can answer unresolved questions.
  • A place where the final document can be reviewed before sharing.

Claude Docs can be started from a conversation with /docs, from the message box’s Output menu, or from the Artifacts tab. Use only notes your organisation permits you to process.

Fictional input

Create travel-policy-notes.txt:

Travel policy revision notes, 26 October 2026

Purpose: reduce approval delays for domestic trips.
Proposed change: team leads may approve trips costing up to 1,500 TRY.
Current rule: Finance approves every trip.
Open question: does the threshold include tax and airport transfers?
Owner question: Finance has not named the final approver for exceptions.
Review date: 2 November 2026.

The notes contain a proposal, a current rule, and two unresolved points. They do not prove that the change is approved.

Create the brief

  1. Open Claude on the web or desktop and start a new conversation.
  2. Upload travel-policy-notes.txt or paste its text if your account policy allows that.
  3. Start a Claude Doc with /docs, or choose Output, then Docs.
  4. Paste this request:
Create a living approval brief from travel-policy-notes.txt.

The reader is the Finance owner. The purpose is to decide whether the proposed domestic travel approval change is ready for review.

Use these sections:
1. Decision requested
2. Current rule
3. Proposed change
4. Evidence from the notes
5. Unresolved questions
6. Risks if the notes remain incomplete
7. Owner review checklist

Rules:
- Use only the supplied notes.
- Label the 1,500 TRY threshold as proposed, not approved.
- Keep the open questions about tax, airport transfers, and exception approval.
- Do not invent a policy number, effective date, approver, savings, or compliance result.
- Quote a short source sentence beside each material fact.
- If a detail is absent, write NOT STATED.
- Ask me to review the draft before sharing it.
  1. Read Claude’s questions before accepting the first draft. Add a clarification only when you can support it from the notes.
  2. Edit the document directly or ask Claude for a targeted revision. Keep the final decision with the Finance owner.
  3. Export to Word, PDF, Markdown, or Google Docs only after the owner review. Export is a delivery step, not approval.

Illustrative output

This is an editor-written target, not a captured Claude result:

Decision requested
Finance should decide whether the proposed domestic travel approval threshold is ready for policy review.

Current rule
Finance approves every trip.
Source: "Current rule: Finance approves every trip."

Proposed change
Team leads may approve domestic trips costing up to 1,500 TRY.
Status: PROPOSED, NOT APPROVED.
Source: "Proposed change: team leads may approve trips costing up to 1,500 TRY."

Unresolved questions
- Does 1,500 TRY include tax and airport transfers?
- Who is the final approver for exceptions?

Owner review checklist
- Confirm how the threshold is calculated.
- Name the exception approver.
- Confirm the effective date.
- Confirm whether the change applies to all domestic trips.
- Approve, revise, or reject the proposal.

The visible unknowns are the point. The brief should help a person make the decision without pretending the notes contain more than they do.

Acceptance checks

Before sharing the brief, verify:

  • The proposal is not described as an approved rule.
  • The current Finance approval rule appears with a source sentence.
  • Both open questions remain visible.
  • No approver, savings figure, policy number, or effective date was invented.
  • Each material claim can be found in the fictional notes.
  • The named Finance owner has a concrete review checklist.

Troubleshooting

  • Claude writes a polished policy instead of a brief: ask for the seven section headings and a source sentence beside each material fact.
  • An open question disappears: ask Claude to list every line beginning with Open question or Owner question, then compare the result with the source file.
  • The document includes an invented effective date: replace it with NOT STATED and repeat the rule that missing details must remain visible.
  • A sharing or export control is missing: check the account, workspace, and current Claude interface. Do not assume a control is available.

Limits and verdict

Claude Docs can help shape a reviewable document, but it does not approve a policy or resolve missing ownership. Charts and diagrams also need a refresh request when their connected data changes, according to Anthropic’s documentation.

TRY: a fictional or low-risk policy brief with a named decision owner.

SKIP: confidential policy files when your organisation has not approved the workspace, and any workflow that would publish a rule automatically.

USE: the document as a review surface, then keep the approved policy in the system your organisation treats as authoritative.
