ChatGPT Canvas Lost a Paragraph? Recover It Without Losing Later Edits

Summary

Cihan's view: Use the arrows in Canvas version history to find the missing paragraph, then compare versions with Show changes. Copy the earlier wording, return to the latest draft, and reinsert only that passage. Check the current document against both versions so recovery keeps useful later edits and preserves unresolved policy decisions.

You shorten a draft, improve a heading, and then notice that the return instruction has disappeared. Rolling back the whole document would also lose the better heading. This exercise uses ChatGPT Canvas history to find the missing text and put only that passage back.

You will finish with a recovered working draft and a short recovery check. This is for office professionals who already have Canvas access. It involves several document states but no coding.

Evidence label: Documentation-based guide with fictional input and editor-written illustrative output. No ChatGPT or Canvas session, screenshot, personal test, or measured result is claimed. The example is a target for comparison, not evidence that the interface performed these actions.

What you need

Use ChatGPT on the web with a writing Canvas available in your account. OpenAI’s Canvas guide documents opening a blank Canvas, direct text editing, version-history arrows, a copy button, and Show changes. Check that you can see these controls before starting; this guide does not establish your account’s access or promise a free entitlement.

Keep a separate local copy of each practice state. Use the fictional text here, not a confidential policy. A prompt asks for a narrow edit; it does not technically prevent other changes.

The labels V1, V2, and V3 below are our practice labels, not names or version numbers you should expect in Canvas.

1. Put the full fictional draft in Canvas

Ask Open a blank writing canvas, then paste this complete text directly into it. Keep the headings and both owner-input markers. Save the same text in a separate local note as V1.

Remote equipment policy draft

Requests
Employees may request a monitor, keyboard, or headset through the operations form. Requests are reviewed by Operations.

Returns
Equipment should be returned when employment ends.

Open decisions
[OWNER INPUT NEEDED: Approval authority.]
[OWNER INPUT NEEDED: Damage rule.]

Operations reviews requests in this draft. Nobody has supplied approval authority. The return sentence has an event trigger, “when employment ends”. Recovery preserves that wording without adding a number of days. Leave both open decisions untouched.

2. Make a controlled practice edit

In this fictional practice document only, use this prompt to create the failure we want to repair:

In the current writing Canvas, change the heading "Requests" to "Requesting equipment". Delete the heading "Returns" and its sentence, "Equipment should be returned when employment ends." Keep every other word and both owner-input markers unchanged. Do not add a rule or approve the policy. This deliberate deletion is for a recovery exercise on fictional text.

Compare the current Canvas with this complete editor-written V2 target. If anything else changed, fix the practice state before continuing. Save a separate V2 copy so you can check later edits survived recovery.

Remote equipment policy draft

Requesting equipment
Employees may request a monitor, keyboard, or headset through the operations form. Requests are reviewed by Operations.

Open decisions
[OWNER INPUT NEEDED: Approval authority.]
[OWNER INPUT NEEDED: Damage rule.]

Do not deliberately delete text from a real policy to learn this feature.

3. Find the deleted passage in history

OpenAI documents the arrows in the top toolbar for navigating earlier Canvas versions and restoring a previous version. It also documents the top-toolbar Show changes button, which displays additions and deletions between versions.

  1. Use the history arrows to locate the earlier document containing the Returns heading and its sentence. Identify it by its text, not an assumed timestamp or a fixed number of clicks. If that state is absent, stop the history exercise and use your saved V1 copy.
  2. Use Show changes to inspect the versions involved in the edit. Check both the deleted Returns block and the change from Requests to Requesting equipment. The display can differ from the plain-text record below.
  3. While viewing the earlier version, use the copy button to copy its contents into a separate local note. From that note, take the Returns heading and sentence exactly. Browsing an old version does not by itself prove the current draft has been repaired.
  4. Navigate back to the latest V2 state. Confirm that Requesting equipment is present and Returns is absent before editing. Keep the saved V2 copy beside it.

This is the complete illustrative change record for the practice edit, written by the editor rather than captured from Show changes:

Heading removed: Requests
Heading added: Requesting equipment
Block removed:
Returns
Equipment should be returned when employment ends.
Other text changed: none

For this task, recover the passage into the latest draft. A whole-version restore would bring back the old Requests heading too. If you choose a whole-version restore for another task, compare its entire contents with your saved latest copy before keeping it.

4. Recover only the missing block

With V2 current, paste this exact task prompt. The quoted block is the passage you found in V1; it supplies existing wording, not a newly proposed policy rule.

Repair the current writing Canvas, not a new document. Before editing, compare its nonblank lines with this complete expected starting text:

BEGIN EXPECTED CURRENT
Remote equipment policy draft

Requesting equipment
Employees may request a monitor, keyboard, or headset through the operations form. Requests are reviewed by Operations.

Open decisions
[OWNER INPUT NEEDED: Approval authority.]
[OWNER INPUT NEEDED: Damage rule.]
END EXPECTED CURRENT

If any wording differs, stop and ask me to check the version.

Immediately before the "Open decisions" heading, insert this exact block with a blank line before and after it:
Returns
Equipment should be returned when employment ends.

Keep all other wording unchanged, including "Requests are reviewed by Operations." and both owner-input markers. Do not turn review into approval, change "should" to "must", add a deadline, or supply a damage process.

After editing, return a "Recovery check" in chat with the latest heading kept, the exact recovered block, both owner-input markers copied in full, whether other text changed, and policy status. Call it a working draft, not an approved policy. If you cannot inspect the current document, say so instead of claiming the edit passed.

If the requested edit fails, click into the latest Canvas and manually paste the recovered block before Open decisions. OpenAI documents direct editing. Compare the resulting document just as carefully; a manual repair still needs the same checks.

5. Inspect the whole recovered draft

This is the complete editor-written V3 target. It keeps V2’s heading improvement and recovers V1’s exact Returns block:

Remote equipment policy draft

Requesting equipment
Employees may request a monitor, keyboard, or headset through the operations form. Requests are reviewed by Operations.

Returns
Equipment should be returned when employment ends.

Open decisions
[OWNER INPUT NEEDED: Approval authority.]
[OWNER INPUT NEEDED: Damage rule.]

The corresponding complete illustrative chat response is:

Recovery check
Latest heading kept: Requesting equipment
Recovered block:
Returns
Equipment should be returned when employment ends.
Approval authority: [OWNER INPUT NEEDED: Approval authority.]
Damage rule: [OWNER INPUT NEEDED: Damage rule.]
Other text changed: none
Policy status: working draft, not approved

The chat response is an editing aid. Inspect the current Canvas itself, then copy its contents into a fresh local note and compare that copy with V3. If you are still viewing V1, the latest-heading check will fail. A correct chat response cannot compensate for an unrepaired document.

Acceptance checks

For the fictional practice, check these observable results:

  • The latest Canvas and its fresh copied text both contain Requesting equipment. A full rollback to V1 fails this check.
  • Returns appears once, between the request paragraph and Open decisions. Its sentence is exactly Equipment should be returned when employment ends.
  • The request paragraph matches V2, including Requests are reviewed by Operations. It does not name Operations as an approver.
  • Both owner-input markers match V1 and V2 in full. No approval route, days-after deadline, mandatory return obligation, or damage procedure has appeared.
  • Comparing the final text with V2 shows only the restored block. Comparing it with V1 shows only the heading improvement. Blank-line formatting may differ, but no wording may differ.
  • The Recovery check contains every field shown above, and every field agrees with the actual current document.

Record the history comparison, current-document check, and fresh-copy check separately in your own notes. Leave any unperformed check as NOT CHECKED. The illustrative example above does not count as an observed pass for any of them.

Troubleshooting

If history or Show changes is missing, check the visible controls against the official guide and use your saved V1 and V2 copies for a manual comparison. You can still repair the text, but you have not completed the Canvas-history part of this exercise. If neither history nor a reliable earlier copy contains the paragraph, ask the document owner for it. Do not ask ChatGPT to invent what used to be there.

If recovery removes the better heading, you may have restored the whole earlier version or edited while viewing it. Compare with your saved V2 and recover only the missing block into the latest state. Verify Requesting equipment again before calling the document repaired.

If the chat says the repair passed but the current document disagrees, copy the current text and compare it with the V3 target. Reject a changed obligation, a filled owner marker, or a duplicate Returns block. Restore the exact supplied wording manually or stop for owner input.

Limits and next lesson

Risk is low for this fictional text; real policy work needs your organisation’s approved workspace and review process. Finding an earlier paragraph proves what that draft said, not that the rule was approved or remains current. The policy owner still resolves the two open decisions before anyone relies on the policy.

For a different task, compare two separately supplied policy drafts to prepare a change review. For one practical AI-for-work lesson each week, join The Weekly Verdict.
