Use ChatGPT to Write a Monthly Report Brief That Exposes Missing Data

Cihan's view: Give ChatGPT a fixed report structure, full fictional inputs, and explicit missing-data rules. Then check every number and unresolved item against the source before sharing.

Use ChatGPT to Write a Monthly Report Brief That Exposes Missing Data

For: office professionals who prepare recurring monthly updates.

Artifact: a one-page report brief with a source table, missing-data list, and review questions.

Evidence label: Illustrative example. The input and output below are fictional. This guide does not claim a hands-on ChatGPT run.

What you need

You need access to ChatGPT and a small set of approved notes or a spreadsheet you are allowed to share. Remove names, account numbers, and confidential figures first. The exact ChatGPT features available to you can vary by plan and workspace.

Fictional input

- One urgent ticket is marked "in progress" but has no next update date.

Risks mentioned in chat:

Audience: operations manager
Length: one page
Do not invent totals, causes, owners, dates, or comparisons.

The copyable prompt

You are preparing a monthly operations report brief from the source notes below.

Create these sections in this order:
1. Executive summary with only claims supported by the notes.
2. Metric table with metric, value, period, source status, and confidence.
3. Missing or ambiguous information.
4. Risks and follow-up questions.
5. A short list of items that need a human owner.

Rules:
- Use only the supplied notes.
- Never calculate a comparison when the comparison period is missing.
- Never turn a suspected risk into a confirmed fact.
- Write "not provided" when a value, owner, date, or source is missing.
- Keep "reported in notes" separate from "verified in source data".
- Preserve EUR and the stated time period.
- Do not assign owners or deadlines.
- Flag any metric whose source is incomplete.
- Keep the result under 500 words.

After the brief, add an acceptance check with one line for each source item. State whether the item appears unchanged, needs clarification, or was omitted.

Three steps

  1. Replace the sample notes with an approved monthly input. Keep the full input visible in the chat so you can compare the result with it.
  2. Paste the prompt and review the metric table first. Check every number, currency, date, and comparison against the input. The table should expose the missing finance export and the missing owner rather than smoothing them over.
  3. Copy the brief into your normal report template. Keep the missing-data and follow-up sections. Ask the responsible human to resolve them before you circulate the report.

Acceptance checks

The draft passes this check if it:

  • keeps 42, 36, 11, 18,400, 7, 2, 6, 19, and 15 unchanged;
  • says that the finance export is incomplete;
  • does not calculate revenue growth or claim that the vendor increase is confirmed;
  • leaves the turnaround owner and urgent-ticket date unresolved;
  • separates notes from verified source data;
  • includes a human review step before sharing.

If the result is wrong

It invents a percentage. Add the rule “do not calculate derived metrics” and ask it to mark the comparison as unavailable.

It turns the vendor note into a fact. Add a column called evidence status and require unconfirmed unless a quote or renewal notice is supplied.

It drops awkward gaps. Put the missing-data section before the conclusion and repeat: “Missing information is part of the deliverable.”

Limits and privacy

ChatGPT can reorganize supplied notes, but it cannot verify a number that is absent from the source. Keep confidential or regulated data out unless your organization has approved the relevant workspace and handling process. A polished report is still a draft until a human checks it.
