Use ChatGPT Record to Turn a Meeting into a Reviewable Decision Brief

Summary

Cihan's view: ChatGPT Record can transcribe a meeting and turn the notes into a decision brief, but the transcript still needs a human check. This guide shows the macOS workflow, a fictional example, and acceptance checks for owners, dates, decisions, open questions, and source wording.

A meeting can produce a tidy summary and still leave the important parts unclear. Who owns the next step? Which date did the group agree on? Was that a decision or a suggestion?

ChatGPT Record can capture a meeting, create notes, and turn those notes into a project plan or email. This guide uses a fictional project meeting and asks for one reviewable decision brief. The result is illustrative. It is not a recording or a personal test.

What you need

  • The ChatGPT macOS desktop app.
  • A Plus, Pro, Business, Enterprise, or Edu workspace. Availability can change, and Enterprise and Edu workspaces have Record disabled by default until a workspace owner enables it.
  • A meeting you are allowed to record. Get the required consent before recording other people.
  • A private, fictional meeting for this walkthrough. Do not paste confidential work material into a tool until your organisation has approved that use.

ChatGPT Record is documented for the macOS desktop app. If you use Windows or the web app, use the manual fallback in the troubleshooting section instead of assuming the same button exists.

Fictional meeting input

The example meeting is between a small team reviewing a supplier onboarding change. The following is the complete fictional input to record:

Maya: We can move the supplier form to the new portal on 12 November if the security review is complete.

Daniel: I can finish the security review by 8 November. I still need the data retention answer from the supplier.

Priya: I will ask the supplier for that answer today. If it arrives by 6 November, Daniel can include it in the review.

Maya: Let us treat 12 November as the target, not a final commitment. We need a short follow-up after the review.

Daniel: Agreed. I will post the review result and any blockers in the project channel.

The expected artifact is a decision brief with these fields:

  • Decision and status
  • Owner for each action
  • Due date, including whether it is a target or a commitment
  • Open question or blocker
  • Evidence quote from the transcript

Steps

  1. Open the ChatGPT macOS desktop app and start a new chat.
  2. Before recording, confirm that the participants have given the consent required where you are. Check microphone and system audio permissions if ChatGPT asks for them.
  3. Select Record at the bottom of the chat. Speak naturally. ChatGPT shows a live transcript and a timer. You can pause and resume.
  4. Select Stop, then choose Send when you want ChatGPT to upload the transcript and generate notes. ChatGPT says the notes may appear as a canvas in the chat or as notes attached to the recording.
  5. Ask ChatGPT to produce the brief with this instruction:
Turn the meeting transcript into a reviewable decision brief.

Return these sections:
1. Decisions, with status: agreed, target, or unresolved.
2. Actions, with owner and due date.
3. Open questions and blockers.
4. Evidence quotes, copied exactly from the transcript.

Rules:
- Use only the transcript.
- Keep a missing owner, date, or answer as "unknown".
- Do not turn a target into a commitment.
- Do not turn a suggestion into a decision.
- Put the evidence quote beside each decision or action.
- If speaker names are uncertain, preserve the speaker label and mark it for review.
  1. Read the generated brief beside the transcript. Correct names, dates, owners, and decision status before sharing it. If the recording has several speakers, ChatGPT may use labels such as Speaker 1. Rename them only when you can verify who spoke.
  2. Save or share the brief through your normal approved workspace process. Treat the ChatGPT output as a draft for review, not as the official meeting record until a person accepts it.

Illustrative output

The following is an editor-written example of the expected shape. It is not generated by ChatGPT and does not prove that Record produced it.

Decisions

Item Status Evidence
Move the supplier form to the new portal on 12 November Target, pending security review “Let us treat 12 November as the target, not a final commitment.”

Actions

| Owner | Action | Due date | Evidence | | — | — | — | | Daniel | Finish the security review and post the result and blockers | 8 November for the review; posting date not stated | “I can finish the security review by 8 November.” | | Priya | Ask the supplier for the data retention answer | Today, exact date not stated | “I will ask the supplier for that answer today.” |

Open questions and blockers

  • The supplier’s data retention answer is still missing.
  • The exact date for Daniel’s project-channel update is unknown.
  • The 12 November move remains a target until the security review is complete.

Acceptance check

Before sharing the brief, compare it with the fictional transcript and confirm:

  • The 12 November date is marked as a target, not a final commitment.
  • Daniel owns the security review and has an 8 November due date.
  • Priya owns the supplier question, while its calendar date remains unknown.
  • The data retention answer appears as an open blocker.
  • Each decision and action has a transcript quote.
  • No owner, date, or outcome appears that the transcript does not contain.

If any check fails, fix the brief from the transcript. Do not ask ChatGPT to guess the missing detail.

Troubleshooting

The Record button is missing. Update the ChatGPT macOS app and check that the workspace is on an eligible plan. Enterprise and Edu workspaces may also need the workspace owner to enable Record.

ChatGPT cannot access the microphone or system audio. In macOS, open System Settings → Privacy & Security and enable ChatGPT under Microphone and Screen & System Audio Recording.

The transcript is hard to read. Use a headset and reduce background noise. Then review names, dates, and decisions against what was actually said.

You cannot find the notes. Search the chat where you started recording. Some recordings store generated notes with the recording instead of as a canvas in the chat.

You do not have Record. Use an approved transcript from your meeting system, paste the transcript into a new ChatGPT chat, and use the same prompt. The manual route does not prove that ChatGPT Record is available in your account.

Limits and privacy

ChatGPT says Record sessions are currently capped at 4 hours per session, subject to change. Audio is deleted after transcription, while transcripts and canvases follow the retention settings for the conversation. For consumer plans, transcript and canvas use depends on the Improve the model for everyone setting. Business, Enterprise, and Edu workspaces are excluded from model training by default according to the official help page. Check your organisation’s policy before recording work conversations.

Next step

Try the workflow with a fictional transcript first. If the brief passes every acceptance check, adapt the prompt to an approved meeting process. For more practical AI workflows, join the weekly update.
