Gemini in Google Docs Summary Looks Stale? Refresh It Before Sharing
Summary
Cihan's view: Refresh the AI Summary block after the document changes, then accept or discard the updated block only after checking its details against the source. If the control is missing, check feature access before changing the document. Keep the final document under human review.
A summary can become misleading when the document changes underneath it. The block may still describe yesterday’s version while the team is working from today’s one.
This guide shows a safe way to check that boundary in Google Docs. You will create a fictional project update, insert an AI Summary block, change one source detail, refresh the summary, and compare the result with the document.
The evidence label is documentation-based with an illustrative expected output. Google documents the AI Summary block, its Refresh summary control, and the Accept changes and Discard changes actions. No Gemini run is claimed.
Before you start
You need:
- A desktop browser with Google Docs.
- An eligible Google Workspace or Google AI plan with the feature available. Access varies by account, plan, language, and workspace settings.
- A blank practice document.
- The fictional project update below.
If @Summary or AI summary does not appear, stop at the access check. Editing the document will not create a missing feature.
Fictional input
Create a Google Doc named Northstar project update and paste this text:
Northstar project update
Owner: Mina
Current stage: Pilot
Target review date: 14 November 2026
Open issue: The supplier still needs to confirm the export format.
Next action: Mina will request confirmation before the review meeting.
Keep the wording visible. The source text is the thing you will use to check the summary.
Three steps
1. Insert the first summary
Place the cursor at the end of the document.
Type @Summary, then choose AI summary from the building blocks menu. If your Docs surface presents the option through @ instead, choose AI summary there.
When the summary block appears, read it before accepting it. Google says the block summarizes all text in the document, including text in different tabs. For this exercise, leave the suggested block visible until you have compared it with the source.
The expected content is a short description of the owner, stage, review date, open issue, and next action. The exact wording can vary.
For this practice run, choose Accept changes after checking those five facts. This inserts the first block so you have an existing inline summary to compare after the source changes.
2. Change one source detail
In the original project update, change the target review date from 14 November 2026 to 21 November 2026.
Do not edit the summary block. The point of this step is to create a controlled mismatch between the source and the existing summary.
If the document has multiple tabs, keep the change in the same tab as the original project update. Google says the inline summary includes text from different tabs, so a tab change can affect the review boundary.
3. Refresh and review the block
Click the AI Summary block. Select Refresh summary.
Compare the refreshed inline block itself with the five fields in the original project update. Its review date must be 21 November 2026; Mina, Pilot, the open issue, and the next action must still match the source. A correct side-panel answer cannot make a stale inline block pass.
Then choose an outcome:
- Accept changes only after the inline comparison passes. Check the inserted block again and record
KEPTonly if all five facts still match. - Discard changes removes the summary block from the document. Verify that it is absent and record
REMOVED, with the refresh not accepted. Discard does not restore a previous summary block. Keep the updated source text; if you need a summary later, generate a new one and check it before keeping it.
If the document is in Suggesting mode, Google says the summary block can appear as a suggestion. Review it using the same source check before accepting it.
Copyable review prompt
If you want a second pass in the Docs Gemini side panel, click Ask Gemini and use this prompt:
Review the current project update only.
Return a five line check with these labels:
Owner:
Stage:
Target review date:
Open issue:
Next action:
Copy each value from the current document. If a value is missing, write "Not stated". Do not infer a status, cause, deadline, or recommendation.
A side panel response is a separate suggestion. Use it only as an optional cross-check of the original project update. It does not prove that the inline AI Summary block is current and cannot replace the inline comparison or its kept/removed record.
Illustrative output
These are editor-written fictional artifacts, not captured Gemini responses. The stale and refreshed paragraphs represent the inline block. The five-line check below them represents the separate side-panel output.
Stale inline summary after the source date changes
The source now says 21 November 2026, but this existing block still has the old date. Do not mark it as accepted:
Mina is the owner. The current stage is Pilot. The target review date is
14 November 2026. The supplier still needs to confirm the export format.
Mina will request confirmation before the review meeting.
Refreshed inline summary for comparison
This fictional replacement has the updated date and preserves the other four facts:
Mina is the owner. The current stage is Pilot. The target review date is
21 November 2026. The supplier still needs to confirm the export format.
Mina will request confirmation before the review meeting.
Optional side-panel check
A separate response to the copyable prompt could be:
Owner: Mina
Stage: Pilot
Target review date: 21 November 2026
Open issue: The supplier still needs to confirm the export format.
Next action: Mina will request confirmation before the review meeting.
Even this correct side-panel check fails to validate the stale inline paragraph above.
Record the document outcome
These receipts are alternative fictional outcomes. They are not observations from Google Docs, and the same block is not both kept and removed.
If you accept the checked replacement and verify that it remains in the document:
Action chosen: Accept changes
Disposition: KEPT
Inline summary present: yes
Inline/source comparison: all five fields match
Inline target review date: 21 November 2026
Refresh accepted: yes
If you choose Discard changes and verify that the block is gone:
Action chosen: Discard changes
Disposition: REMOVED
Inline summary present: no
Original source target review date: 21 November 2026
Refresh accepted: no
REMOVED records a rejected summary, not a successfully accepted refresh. The source project update stays available for manual review or a new summary. Neither outcome is approval to share the document.
Acceptance checks
A kept refresh passes only when all of these are true:
- The original project update contains
21 November 2026. - The refreshed inline AI Summary block itself contains
21 November 2026. A current side-panel date cannot substitute for this check. - The inline owner is still Mina.
- The inline stage is still Pilot.
- The inline open issue and next action preserve the source facts. In the fictional example, their wording is unchanged.
- The inline block adds no deadline, cause, or recommendation that the source does not state.
- You chose Accept changes, verified the kept block against all five source fields, and recorded
KEPTwithRefresh accepted: yes.
If the inline block is still stale while the side panel is current, the kept-refresh check fails. Do not mark it accepted.
For a removal outcome, choose Discard changes, verify that the summary block is absent, and record REMOVED with Refresh accepted: no. Keep the original project update at 21 November 2026. This is a rejection/removal record, not a passing kept refresh or a restoration of an earlier block.
If the summary still looks wrong
The AI Summary control is missing. Confirm that the account has an eligible Google Workspace or Google AI plan. Workspace administrators can also control feature access. Availability can vary by account and language.
The date did not change. Click the summary block and use Refresh summary. Check that you changed the original project update rather than text inside the summary block.
The summary includes an old detail. Compare it with every tab in the document. Google says the inline summary covers text in different tabs, so an old copy elsewhere may still be part of the source.
You cannot tell whether the block was accepted. Leave the refresh unaccepted until you can inspect the inline block and compare all five facts. If you choose Discard changes, it removes the summary block; verify that the block is absent and record REMOVED. It does not restore an older block. Keep the source project update unchanged.
The side panel response differs from the block. Keep the two outputs separate. Recheck the source and avoid presenting either output as a final project update until a person confirms the facts.
Limits and privacy
This workflow checks whether a summary reflects a changed source. It does not prove that every sentence is accurate. Use fictional or approved information while learning the feature. Keep confidential, personal, legal, financial, and other consequential material inside the rules of your workspace, and retain human review before sharing an update.
Evidence label
