Use ChatGPT to Turn a Handoff Note into a Missing-Information Checklist

Summary

Cihan's view: Give ChatGPT the handoff note, define the fields the next owner needs, and require it to separate stated facts from missing information. Ask for one question per gap, then compare every listed fact with the source before the handoff. The result is a reviewable checklist, not an automatic assignment.

A handoff can sound complete while quietly leaving the next person to reconstruct the job. ChatGPT can help find the gaps, but only if you tell it what a usable handoff must contain.

Evidence label: documentation-based guide with fictional input and illustrative output. This example was not generated in a recorded ChatGPT run.

What you need

  • ChatGPT on a surface that accepts text. OpenAI says file uploads and text prompts support synthesis, transformation, and extraction tasks, with availability and limits varying by plan and account.
  • One approved, non-sensitive handoff note.
  • The next owner’s required fields.

Fictional input

Project: Atlas supplier onboarding
Current status: Supplier sent the tax form. Procurement is reviewing it.
Recent change: The requested delivery window moved to 14 to 18 November.
Open item: Finance needs to confirm the payment terms.
Next activity: Review the supplier response on Thursday.
People mentioned: Dana, Finance

For this handoff, the next owner needs: current status, next activity, due date, named owner, source of any changed date, and unresolved decision.

1. Paste the bounded prompt

You are checking a work handoff for completeness.

Use only the note between SOURCE NOTES and END SOURCE NOTES. Do not invent
owners, dates, reasons, commitments, or status. If a required field is absent,
write "Missing". If the note is ambiguous, write "Needs clarification".

Required fields:
- current status
- next activity
- due date or explicit no due date stated
- named owner
- source for any changed date
- unresolved decision

Return exactly:
1. Known facts, with a short source quote for each
2. Missing or ambiguous fields
3. One follow-up question for each gap
4. Handoff risk: Low, Medium, or High, with one sentence explaining why
5. Do not assign work or send a message

END SOURCE NOTES

OpenAI’s current prompting guidance recommends clear, specific instructions and iterative refinement. The required fields and missing-data rule make the request checkable.

2. Review the illustrative artifact

A suitable illustrative result could be:

Known facts
- Status: Supplier sent the tax form. Procurement is reviewing it.
- Next activity: Review the supplier response on Thursday.
- Changed date: Delivery window moved to 14 to 18 November.

Missing or ambiguous fields
- Due date: Missing. Thursday is an activity date, not a stated due date.
- Named owner: Missing for the review.
- Source for changed date: Missing.
- Unresolved decision: Finance payment-term confirmation is open.

Follow-up questions
- What is the due date for the review?
- Who owns the review?
- Which source confirmed the new delivery window?
- What payment-term decision does Finance need to make?

Handoff risk: Medium. The next activity is present, but ownership and decision timing are not.

This output is illustrative. It is not a captured model response.

3. Acceptance checks

  1. Every known fact appears in the fictional note.
  2. The delivery window is not treated as a confirmed commitment beyond the note.
  3. Missing owner and source details stay missing.
  4. There is one useful question for each gap.
  5. No message was sent and no person was assigned.

Troubleshooting

  • It invents an owner: add the sentence “A person mentioned in the note is not automatically the owner.”
  • It treats a date as a deadline: require the output to label dates as activity dates, due dates, or unclear.
  • It produces general advice: include the exact required fields and demand one question per gap.

Limits and privacy

Use approved material only. Do not paste credentials, confidential customer records, or regulated information into an unapproved environment. The checklist can expose missing information; a person still decides what to ask and who should receive it.

TRY this for handoffs with a defined receiving checklist. SKIP it when the source note is unapproved or the required fields are unknown. USE the checklist after a human confirms each fact.
