Use Copilot in Outlook to Turn an Email Thread into a Reviewable Meeting Agenda
Summary
Cihan's view: In new Outlook, open the email conversation, choose Schedule with Copilot, and inspect the suggested title, agenda, attendees, and attached thread before sending. Keep the meeting focused on the decision the thread needs, and remove any detail Copilot cannot support from the messages.
Evidence label: documentation-based guide with a fictional example. I did not run this workflow in Outlook. Microsoft documents the feature and its access limits. The email thread and meeting details below are invented for practice.
A long email thread often ends with a vague suggestion to “jump on a call.” Copilot in new Outlook can turn that thread into a draft meeting invitation. It suggests a title and agenda, carries over the people in the conversation, and attaches the thread. You still decide whether the meeting is needed and what the invitation should say.
What you need
You need new Outlook and a Microsoft Copilot (Work) license. The documented feature works from an email conversation. Copilot scenarios can be limited by mailbox/search scope and message protection settings. Microsoft documents signed, encrypted, and IRM-protected messages as limitations; shared or delegate mailboxes and archive results can work when the relevant access and search scope are available.
Fictional input
Imagine this short thread in your primary mailbox:
Subject: Northwind renewal options
Maya, Account Manager:
The Northwind renewal is due for review. Option A keeps the current support level at $18,000 for the year. Option B adds weekend coverage, but I still need to confirm the price.
Jon, Customer Success:
Northwind asked whether we can decide this week. I can bring the support usage report.
Priya, Finance:
I can join a short review. Please include the confirmed price for any expanded coverage before we approve it.
The meeting decision is whether to prepare a renewal recommendation. The price for Option B is still unknown. That unknown must stay visible.
Steps
- Open the conversation in new Outlook. Check that the thread contains the people and context you want to use.
- In the toolbar, select Schedule with Copilot. If the control is hidden, Microsoft says you can add it through customized actions in new Outlook.
- Review the suggested meeting title, agenda, attendees, and attached email thread. Select Insert to place the suggested content into the invitation.
- Edit the invitation. For this example, keep the title focused on the renewal decision and change the agenda to something like this:
Northwind renewal review
1. Confirm current support usage and the renewal date.
2. Compare the current support option with expanded coverage.
3. Record the confirmed price, owner, and next decision.
Open question: Finance has not confirmed the price for expanded coverage.
- Use the checklist below. Remove unsupported claims, correct attendees, and add a real time only after the accountable person has reviewed the invitation.
- Select Send only when the title, attendees, agenda, attachment, and timing are correct.
The artifact to check
The expected illustrative artifact is a meeting invitation containing:
- a title that names the Northwind renewal review
- Maya, Jon, and Priya as attendees, if they are the right people
- an agenda that ends with a decision or next action
- the original email conversation attached
- the unknown Option B price clearly marked
- a real date and time chosen by a person, not invented by this example
This is an illustrative target, not a Copilot result or a screenshot.
Acceptance checks
Before sending, confirm each point:
- Does the title match the decision the thread needs?
- Does every attendee belong in the meeting, or did the thread include someone only for information?
- Does the agenda use facts from the messages?
- Is the missing Option B price still labeled as unknown?
- Is the email thread attached so attendees can inspect the source?
- Did a person choose the time and approve the invitation?
If any answer is no, edit the invitation or stop. The draft is not approval.
If the control is missing
First check that you are using new Outlook and that the account has the required Microsoft Copilot (Work) license. Microsoft also notes that you can add Schedule with Copilot through customized actions in new Outlook. If the thread is in a shared or delegate mailbox, or its messages are signed, encrypted, or protected by IRM, use a manual meeting draft instead. Copy the relevant facts into the agenda and keep the original thread available for review.
